Property Document Types

The Property Document Types page allows you to define the types of documents that can be associated with a property, for example, Lease, Contract, or COI (Certificate of Insurance). The property document type values you define populate the Document Type field menu on the Property Documents page.

To open the Property Document Types page:

  1. Open the Administration Menu page.

  2. Under the ADMIN heading, click Property Types.

Adding a document type allows you to define the values that are included in the Document Type field menu on the Property Documents page. To create a new document type:

  1. In the Add Document Type field, enter a name for the document type.

    The name you enter must be unique.

  2. In the Lease Type field, select Yes if the document is a type of lease.

  3. Click ADD.

    A dialog box opens asking you to confirm your choice.

  4. Click OK.

    The document type is added and additional fields appear.

  5. In the Tab Order field, enter a numeric value.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  6. In the Rename field, enter a new name if you want to rename the document type.

    Renaming a document type causes all historical information to reflect the new name.

  7. In the Status field, select Active or Inactive.

    Active values types appear in drop-down menus; inactive values do not.

  8. Click UPDATE.

Document types can be modified. For example, if you want to change the value that users see, you can modify the name. To edit a document type:

  1. In the Document Type field, select the document type you want to edit.

  2. Modify any of the following values:

    • Lease Type – indicates whether the document type represents a type of lease
    • Tab Order – the position in which the document type value will be displayed in menus
    • Rename – allows you to rename the document type
    • Status – indicates whether the document type value is active or inactive
  3. Click UPDATE.

ClosedDelete a Document Type

Document Types that have not been used can be deleted from the system. If a document type has been associated with a property document, it cannot be deleted.

If a document type value has been used but is no longer needed, you can edit it and make it inactive to prevent it from being displayed to users.

To delete a document type value:

  1. In the Document Type field, select the document type value you want to delete.

  2. Click DELETE.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
